EMR Chiro – Frequently Asked Questions

Pricing, Setup & Marketing

Yes — technically, you may attempt a self-guided setup using AdvancedMD and EMR Chiro training videos. However, successful implementation of a chiropractic EMR requires more than software access; it requires workflow integration, documentation setup, billing alignment, and staff training.

The $1,200 onboarding includes live one-on-one implementation training, a guaranteed successful system launch, recorded sessions for future staff training, and full workflow integration. Based on real-world office implementations, guided onboarding dramatically reduces errors, delays, staff frustration, and compliance risk.

Demographics-only migration is $0. Full migration, including notes and financials, is $500 for up to 500 patients and $1 per additional patient. Full migration is available to billing clients only, with an approximate turnaround of 2 weeks.

Your staff does nothing. The billing team migrates the most recent chart notes and all outstanding claims. By law, your prior EMR vendor must provide records at $0 cost to you. This supports continuity of care, billing accuracy, and proper record retention during the transition.

One-way text reminders are included at $0. One-way and two-way email are included at $0. Two-way texting is available for $100/month through a third-party service. AI Automation is $100/month/ provider per month.

EMR Chiro is designed to keep pricing transparent, reduce unnecessary add-ons, and avoid hidden fees that commonly create frustration for chiropractic offices.

EMR Chiro automatically delivers your evaluation and re-evaluation reports electronically to MD primary care physicians, medical specialists, attorneys, and physical therapists, keeping your practice consistently visible to your referral network. The platform also integrates your provider information into the Surescripts network, ensuring other healthcare providers continue to see your name during patient care and their prescribing workflows.

In addition, EMR Chiro automatically requests and publishes patient social media reviews, helping strengthen your online reputation without adding work to your staff. Best of all, this comprehensive referral and reputation marketing system is included at no additional cost—every feature is built into your EMR Chiro subscription.

Additional providers are $350 per provider. Licensed massage therapists and providers working legally “incident-to” do not require separate provider licenses and incur no extra cost.

This structure allows chiropractic offices to scale while maintaining the highest levels of provider documentation compliance, billing accuracy, and workflow accountability.

Patient Overview & Clinical Dashboard

Yes. EMR Chiro includes clinical dashboard cards, exam and imaging summaries, testing highlights, and fully customizable timeline views.

This allows providers to quickly review critical patient data, understand the clinical history, and make informed decisions without wasting time searching through disconnected records.

Exercise & Rehabilitation

Yes. Through the patient portal, you can upload rehab programs, allow patients to download them instantly, and track program delivery.

This supports continuity of care between in-office and home care, helping doctors document patient instructions, compliance efforts, and therapeutic recommendations.

Payments & AI Integration

Credit card processing is fully integrated. You can send electronic invoices, collect in-office payments, create automated payment plans, and allow patients to pay through secure text or email payment links.

All transactions flow directly through the platform, improving payment tracking, reducing administrative errors, and supporting a cleaner financial workflow.

EMR Chiro’s AI documentation system is designed to create complete SOAP notes — not partial documentation. It is native to the platform, not third-party software, and is integrated across the entire SOAP note.

The system combines structured macros, button selections, provider input, and dictated content. AI enhances documentation efficiency, but it does not replace the doctor’s clinical judgment, examination findings, diagnosis, prognosis, treatment plan, or final responsibility for the record.

The result is compliant, defensible, fully structured chiropractic documentation in minutes.

Documentation & Legal Protection

Notes are fully customizable — but caution is strongly advised. EMR Chiro templates were built using nationwide court rulings, insurance defense feedback, claims review experience, and documentation standards commonly used in reimbursement disputes.

The templates are designed to meet Federal Daubert standards, maximize defensibility in reimbursement, support audit protection, and create clinically meaningful records. Customization is available, but minimal changes are recommended to preserve legal and documentation integrity. The program was engineered to make the note EASY.

Prebuilt macros are included throughout the system and are fully editable. Periodic macro updates are included at no additional cost, and custom macro creation is allowed.

Macros help standardize documentation language while allowing the provider to personalize findings, treatment, patient response, and clinical decision-making.

No. AI works with structured inputs, prebuilt macros, button selections, and provider-directed documentation.

It enhances the record but never overrides the structured documentation system or the provider’s responsibility to review, approve, and sign the note.

EMR Chiro is cloud-based and works on any modern browser. Windows, Mac, and Linux are supported, and no special hardware is required. The app (included for $0 extra) can be used in the reception area and for all doctors' notes; loves iPads.

This allows doctors and staff to access the platform securely from the office, home, or other approved work locations using standard modern technology.

Intake & Kiosk

Yes. Intake and kiosk forms are customizable. There is no branching logic, and the default intake is used for all patients. Custom forms can be created for specific visit types.

Outcome assessments can be employed but are discouraged without discussion, as they must be used correctly and consistently, and in a manner that supports clinical relevance, reimbursement, and defensible documentation.

Yes. Initial and daily intake forms automatically populate into documentation.

This helps reduce duplicate data entry, supports consistency between patient-reported complaints and provider documentation, and improves the accuracy of the clinical record.

We have worked closely with the insurance industry and their attorneys to know what is safe to populate from a liability posture vs. what to avoid. That is part of the program's compliance guardrails, and is unique to the industry.

Re-Exams & Narrative Flexibility

Yes. Re-exams intelligently pull forward relevant prior data.

This supports efficient reassessment while still allowing the doctor to update findings, compare progress, document clinical changes, and create a current defensible record.

Yes. Every report includes unlimited open narrative sections. You can also use any dictation system as it integrates into the platform.

This allows providers to document complex cases, causality, functional loss, clinical reasoning, complicating factors, and patient-specific details that cannot always be captured through checkboxes alone.

Messaging & Automated Marketing

One-way texting is included at $0. Email messaging, including one-way and two-way email, is included at $0. Two-way texting is available for $100/month.

This gives offices practical communication options for appointment reminders, patient communication, and administrative follow-up without unnecessary workflow friction.

Automated messaging includes appointment reminders, missed appointment notices, birthday messages, reactivation campaigns, and targeted marketing campaigns at no additional cost.

These features are fully customizable and help chiropractic offices maintain patient engagement, improve retention, and support reputation-building efforts.

Compliance & Audit Protection

Signed notes cannot be altered by regulation. Modifications occur through sub-notes (changes after the note is signed), attached imaging, uploaded test results, or properly documented additions.

This preserves audit trail integrity and supports record transparency, which is critical in healthcare compliance, insurance review, legal claims, and clinical documentation defense. Most doctors have licensure and legal issues because they changed the note "after the fact."  This protects the doctor from themselves, as transparent mistakes are typically forgiven.

Multi-Discipline Support

Yes. EMR Chiro includes more than 1,500 templates supporting chiropractic, physical therapy, medical, and ancillary services.

Multiple providers can document on the same date of service when clinically appropriate, supporting multidisciplinary workflow and more complete patient care documentation.

Treatment Plans & Billing Logic

You can create episodes of care, track referrals, and separate planned care from billed services.

This helps offices document medical necessity, care progression, referral activity, and billing logic in a structured and defensible manner.

You may document clinically and choose not to bill.

This gives the doctor full discretion to maintain a complete clinical record while, when appropriate, separating documentation from billing decisions.

Scheduling & Workflow

Yes. You can overlap appointments, add workflow notes, assign rooms, and communicate from the front desk to the provider in real time. Copy-and-paste functionality supports irregular schedules.

This supports the real-world flow of a chiropractic office, where multiple patients may be moving through different stages of care simultaneously.

Yes. Patients can make or change appointments in their personal portal. They can also download records and reports, saving valuable staff time.

This reduces repetitive administrative work and makes scheduling easier for chiropractic offices with variable treatment plans or changing patient availability.

Language Support

Yes. Spanish intake forms are available, and AI supports multilingual SOAP documentation.

This helps offices serve diverse patient populations while maintaining English-language clinical documentation where required for billing, records, and legal review.

Data Storage

Unlimited document uploads are supported. Images are not supported directly and should be stored in a secure cloud storage service, such as Dropbox or another compliant solution.

This allows offices to maintain necessary records while using appropriate systems for image-heavy files.

Subjective Complaint Flexibility

Yes. Complaints can be reordered, modified, removed, or added.

This is important because patient complaints often evolve during care, and accurate documentation should reflect current symptoms, changing priorities, and clinical progression.

Yes. EMR Chiro supports numbness, dizziness, neurological symptoms, elicited complaints, and other non-pain complaints. The system pays careful attention to stroke warning signs, non-compressive neurological signs and symptoms, upper motor neuron lesions, and so much more.

Structured elicited complaints are especially important in trauma, neurological, and personal injury cases where symptoms may not be limited to pain alone.

Reputation & Records Automation

Reputation management is included at $0 and includes automated social media review requests, MD and attorney reporting, SureScripts integration, auto-sharing of records, and automated outside record import.

These tools support patient engagement, communication with referral sources, and more efficient practice management without requiring separate reputation or records automation systems. The entire process is automated and included at no extra cost.

This program is the core of referrals for most larger and corporate practices generating 200+ referrals weekly.

We give you a self-help pathway and a cost-effective option to have it done for you.

Yes. We have doctors reporting that after a few months, they are getting 10-15 new patients per month, mostly personal injury cases.

The reports are best understood by pain management, neurologists, neurosurgeons, and orthopedists. Those providers typically treat more personal injury, and the referrals ensue.

The billing company sends the doctor's assignment documents and statements monthly to stay "top of mind" with the lawyers.

Market Research reveals this is the #1 way to ensure timely reimbursement for your liens.

No. Everything is electronic through the portal.

This eliminates the need for special phone or fax hardware and supports a more modern, cloud-based chiropractic practice workflow.

Statements can be delivered by text, email, or paper. This is included at $0.

Multiple delivery options help offices communicate with patients in the format most likely to result in timely response and payment.

Yes. Secure payment links are included, and only standard processing fees apply.

This makes payment easier for patients and helps offices improve collection efficiency without adding extra administrative steps.

Through Surescripts, an automated interface takes doctors' outside records and populates your patients' records. This is applicable for outside doctors who participate in Surescripts. When you open that patient, the outside records automatically appear.

There is no staff involvement required.

Yes. Extensive physical therapy and chiropractic rehabilitation templates are included.

These templates help document therapeutic exercises, rehabilitation progression, patient response, and treatment rationale.

Yes. Patients can download complete chart records through the patient portal.

This supports patient access, transparency, and efficient record delivery when documentation is requested.

Radiology reports can be auto-imported through SureScripts-supported facilities. Manual scan and upload are also available.

This helps ensure imaging reports are available within the patient record for clinical review, documentation, referrals, and legal or insurance-related reporting.
